Position:               Admissions and Communications Coordinator

Reports to:           Director of Admissions and Marketing

Position Status:    Full-Time, Non-Exempt, 10-12 Months

 

Summary

The Marin School, an independent college-preparatory high school in San Rafael, California, seeks an Admissions and Communications Coordinator.

 

The Marin School currently serves 100 students in grades 9-12 with a goal of growing enrollment to 125 students. We honor each student's unique learning style and act in accordance with a deep belief in the potential of each and every student. Our motto is "Small School. Big Impact." Class size at the school is small by design, typically 7-10 students, to allow teachers to fully understand their students and give teachers the ability to personalize their instruction with experiential learning, innovative lessons and non-traditional, yet effective, learning opportunities.

Position Purpose: 

The Admissions and Communications Coordinator is an essential member of The Marin School team. This role supports the Admissions Office in all areas related to student recruitment and enrollment, digital and print communications, including but not limited to: updating and maintaining TMS website and social media, editing/proofing the weekly newsletter and other internal/external communications.

The Marin School staff and administrators work closely together as a team, and enjoy a collaborative approach to programs and problem-solving. While we all have our individual roles to play, we also support each other with events, administrative work and long-term projects.
 

The optimal candidate will possess superior attention to detail, particularly with dates and deadlines. Facile and enthusiastic use of technology and social media platforms, powerful organizational skills, sharp communication skills, and strong self-motivation are an absolute must-have. A proven track record of working collaboratively and cooperatively as a member of a professional team, while maintaining a positive attitude.

 

Essential Duties and Responsibilities: 

 

Admissions

  • Provide general office support: manage calendars, prepare mailings, serve as the first point of contact for incoming inquiries via email and phone.

  • Manage Admissions/Marketing calendar - Schedule appointments, tours, interviews, etc. with prospective families and other contacts.

  • Track deadlines and upcoming events for Communications calendar, including print and digital marketing campaigns.

  • Maintain accurate and complete admissions database utilizing Ravenna, but also managing applicants/inquiries across different platforms, such as social media leads.

  • Assist with admissions-related events (virtually, until we can safely host events in person again), including tracking RSVPs, following up with event reminders and confirmations.

  • Support the Application Review Committee and Admissions deliberation process in the Spring.

  • Assist with the re-enrollment process.

  • Assist with generating statistical admissions reports.

  • Manage the student ambassador/visit program - daily audits of Ravenna visitors  calendar, connecting prospective students with Student Ambassadors and clearly communicating the schedule with faculty on visit days. Support virtual visitors in navigating Zoom, and when we return to in-person visitors, support the Ambassador/Visitor dynamic as they navigate campus.

  • Share school news and events via various social media platforms - participate as appropriate in school culture and feel comfortable encouraging students and faculty to produce and share content. 

  • Assist with preparation of multimedia outreach projects such as video content and interactive social media content using resources like Canva.

  • Other duties as assigned by the Director of Admissions.

Communications & School Events

  • Provide general support for major events and activities, such as tracking RSVPs, generating guest lists, participating in setup and clean-up, and attending events.

  • Assist with planning and execution of school-wide events such as Back-to-School Night, Major Donor events and fundraisers, Winter and Spring Arts festivals, graduation and similar events.

  • Assist with post-event follow up as needed - generate thank you letters, send follow up emails, provide attendance statistics, share event photos, etc.

  • Work with committees, volunteers, and other professional support staff.

 

Desired Skills

  • High level of comfort with technology, such as cloud-based web page management (Wix, Wordpress, webpage), and email clients like Constant Contact or MailChimp.

  • High degree of organization and related software: GSuite integrations (Classroom, Calendar, Sheets, Docs, Slides, Forms).

  • Working knowledge of Adobe creative suite or similar tools.

  • Efficient with brand management on multiple social media platforms. 

  • Knowledge of/interest in production of digital and print marketing materials, graphic design skills a big plus

Required Skills

  • Microsoft Office Suite, G Suite, database management, advanced knowledge of Microsoft Word and Excel a plus. 

  • Adept with technology, motivation to learn industry-specific programs and other software quickly and independently. 

  • Excellent interpersonal skills.

  • Strong proofreading skills.

  • Flexibility to attend after-school events and periodic weekend and evening activities.

  • Bachelor's degree.

  • A valid and clear California driver's license and the ability to drive self and/or students to school visits and fairs away from campus (when it is safe to resume in-person visits to fairs and feeder schools).

  • Strong follow through with projects and tasks

  • Able to self-direct

Job Experience

  • At least 2 years of experience working in an educational setting or with high school students a plus.

  • Experience working in a collaborative and professional office environment.

The position will begin December 2020. This is a 10-month position. (September-June,
